Description

  • Own end-to-end interview scheduling for two EMEA recruiters across UK, European, and APAC time zones.
  • Manage candidate communications to ensure timely, professional, high-quality candidate interactions.
  • Maintain and update candidate records in the ATS so pipeline data remains accurate and audit-ready.
  • Prepare and distribute interview materials, agendas, and panel briefs ahead of interview loops.
  • Proactively identify scheduling conflicts, bottlenecks, and process gaps and flag them early.
  • Support administrative recruiting tasks such as job postings, reporting, and internal logistics.
  • Coordinate independently with hiring managers, panelists, and candidates to keep workflows moving efficiently.

Requirements

  • 1–2+ years of recruiting coordination, executive coordination, or high-volume administrative experience.
  • Exceptional organizational skills with the ability to manage multiple competing priorities.
  • Strong written and verbal communication skills, including clear and professional communication over video.
  • High sense of urgency and awareness of the impact of slow scheduling on the candidate experience and the business.
  • Comfortable working independently in a remote, fast-paced environment.
  • Confident managing multi-timezone logistics.
  • Experience with Greenhouse (ATS) or Gem is a strong plus.
  • Based in the UK and able to work UK business hours.
