Description

  • Serve as the primary coordination point for new proposal and client pursuit requests, ensuring opportunities are logged, organized, and routed appropriately.
  • Coordinate intake by gathering discovery information, notes, supporting documentation, and qualification details from stakeholders.
  • Maintain opportunity records in Salesforce with accurate stages, statuses, required fields, and timely updates throughout the lifecycle.
  • Schedule and coordinate proposal-related meetings, including kickoffs, follow-ups, internal working sessions, reviews, and debriefs.
  • Prepare agendas, distribute materials, track action items, and keep stakeholders aligned on next steps.
  • Track deadlines, assignments, dependencies, and handoffs across active pursuits, and escalate risks or gaps early.
  • Support proposal development by coordinating inputs, managing version control, and organizing documents.
  • Help gather pricing inputs and assumptions, and coordinate pricing reviews and approvals with BD and service line leadership.
  • Manage the proposal review process by routing drafts, consolidating edits, maintaining schedules, and completing final quality checks.
  • Track proposal outcomes and metrics, maintain reporting dashboards, and support win-rate reporting.

Requirements

  • 1–3 years of administrative, coordination, or support experience, preferably in professional services.
  • 3 years of proposal experience.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work collaboratively and maintain confidentiality.
  • Exposure to marketing, communications, or project coordination is preferred.
  • Experience with CRM, marketing automation, or project management tools is preferred.
  • Familiarity with branding guidelines or proposal support is preferred.
