Description

  • Own the bi-weekly U.S. payroll administration cycle in Paylocity and coordinate with the payroll processing partner.
  • Submit, audit, and reconcile payroll inputs and outputs, including hires, terminations, clawbacks, corrections, and direct deposit changes.
  • Review timecard adjustments and process compensation changes and ad-hoc termination pay for a large hourly workforce.
  • Maintain payroll accuracy under tight deadlines and escalate discrepancies quickly for resolution.
  • Own and execute the U.S. compliance calendar end to end to meet recurring reporting and regulatory deadlines.
  • Prepare compliance filings and reports, including EEO-1, CA Pay Data Reports, OSHA 300 logs, and annual filings.
  • Monitor state and federal legislative changes across approximately 35 states and communicate payroll, policy, and compliance impacts.
  • Partner with Legal and Benefits on handbook updates, ACA reporting, non-discrimination testing, and policy acknowledgements.
  • Review and escalate background checks, oversee quarterly health exclusion checks, and ensure required trainings are completed.
  • Support internal and external audits with accurate, well-documented payroll and compliance records.

Requirements

  • 3–5+ years of hands-on U.S. payroll administration experience.
  • Experience supporting companies with 600–1,000 employees and 300+ nonexempt/hourly workers.
  • Experience tracking and auditing payroll changes such as new hires, terminations, compensation changes, timecard corrections, clawbacks, and direct deposit updates.
  • Strong understanding of nonexempt/hourly payroll complexity, including off-cycle payments and termination pay requirements.
  • Demonstrated ownership of a U.S. multi-state compliance calendar and reporting.
  • Hands-on experience preparing EEO-1, Pay Data Reports, and OSHA 300 logs.
  • Experience managing recurring compliance tasks such as non-discrimination testing, background check reviews, and training or policy acknowledgements.
  • Comfortable working in Paylocity, ticketing platforms, and project management tools.
  • Able to work independently in an offshore setup while maintaining consistent CT or ET working hours for U.S. collaboration.
  • Comfortable working in an environment where AI tools are part of daily operations.
