Description

  • Create and manage detailed travel itineraries for individual and group high-end clients.
  • Coordinate complex travel logistics, including flight monitoring, re-accommodation support, hotel bookings, activities, dining, transport, and VIP services.
  • Track group travel details such as rooming lists, confirmations, changes, and deadlines.
  • Maintain accurate back-office records for multiple travelers and moving parts.
  • Handle client and supplier correspondence by email, WhatsApp, and phone when needed.
  • Serve as an emergency point of contact for traveling clients when the team is unavailable.
  • Manage urgent, impatient, or panicky requests with a calm and solution-focused approach.
  • Build and maintain a global supplier database.
  • Maintain a CRM-style database, currently in Excel, and update internal tracking sheets, templates, and workflows.
  • Create client-facing collateral during downtime, including event flyers, special access announcements, newsletter drafts, luxury event roundups, and simple graphics/layouts in Canva or similar tools.

Requirements

  • Travel or concierge industry experience, including itinerary planning and supplier coordination.
  • Excellent spoken and written English with a professional phone manner.
  • High attention to detail and ability to avoid mistakes in a high-touch service environment.
  • Ability to stay calm under pressure and handle urgent, last-minute changes.
  • Comfort with occasional after-hours and weekend support as needed.
  • Proficiency with Excel or Google Sheets.
  • Canva experience is strongly preferred.
  • Comfortable learning travel platforms, supplier portals, and basic CRM tools.
  • Bonus experience with GDS, ticketing, or travel agency/concierge systems.
