Description

  • Serve as the primary point of contact for prospective and existing clients via phone, email, CRM, and client portals.
  • Manage inbound and outbound client communications and respond to inquiries promptly and professionally.
  • Conduct discovery calls with prospective clients, identify needs, and qualify leads.
  • Schedule strategy sessions and convert qualified inquiries into booked appointments when appropriate.
  • Maintain detailed client notes and records in the CRM and update CRM information as needed.
  • Coordinate client onboarding processes and support documentation, workflows, and SOPs.
  • Assist with administrative projects, operational improvements, and updates tied to the firm’s expansion into North Carolina.
  • Conduct warm outreach to leads and prospects, follow up on marketing and social media inquiries, and re-engage inactive leads.
  • Assist with client invoicing in QuickBooks, provide basic client reports, and track unpaid invoices.
  • Support client retention and relationship-building initiatives while delivering empathetic customer service.

Requirements

  • Minimum 3–4 years of experience in an administrative, client services, virtual assistant, or customer success role.
  • Experience working in an accounting, bookkeeping, tax, financial services, or related professional services environment.
  • Basic understanding of tax preparation, accounting principles, bookkeeping concepts, and small business financial operations.
  • Strong verbal and written communication skills.
  • Experience handling client calls and customer service interactions.
  • Proficiency with Microsoft Outlook, Microsoft Teams, and Microsoft 365 Suite.
  • Experience with CRM systems and QuickBooks, or willingness to learn QuickBooks quickly.
  • Experience with tax or accounting firm CRMs such as TaxDome or similar platforms is preferred.
  • Client onboarding experience is preferred.
  • Lead qualification and discovery call experience is preferred.
  • Experience supporting professional service firms is preferred.
  • Ability to discuss financial matters with clients in a professional, trustworthy manner.
  • Must be comfortable balancing customer service with business development activities.
