Description

  • Process regular, off-cycle, and ad hoc payroll for multiple US entities.
  • Manage payroll calculations, deductions, garnishments, tax withholdings, records, and year-end W-2 activities.
  • Oversee multi-state payroll tax registrations, filings, closures, and compliance.
  • Administer US benefits, including enrollment, qualifying life events, COBRA, renewals, billing, and reconciliation.
  • Lead annual benefits open enrollment and coordinate with brokers, carriers, and third-party administrators.
  • Manage 401(k) administration, audits, compliance testing, and Form 5500 filings.
  • Administer leaves of absence under FMLA, ADA, and state-specific requirements, including pay, benefits continuation, and return-to-work processes.
  • Prepare compliance filings and reports, including ACA, EEO-1, and state requirements.
  • Improve payroll and benefits processes, maintain SOPs, and collaborate with Finance, Legal, People Operations, and HR Business Partners.
  • Support audits, budgeting, leadership reporting, and integration of newly acquired entities.

Requirements

  • 3–5+ years of hands-on US payroll and benefits administration experience in multi-state, multi-entity environments.
  • Working knowledge of payroll tax regulations and ERISA, ACA, COBRA, FMLA, HIPAA, and 401(k) compliance.
  • Experience with HRIS and payroll platforms such as ADP, Paylocity, Gusto, Rippling, or similar.
  • Advanced Excel or Google Sheets skills, including VLOOKUPs, pivot tables, and data reconciliation.
  • Experience handling confidential compensation and personal information with discretion and integrity.
  • Strong communication skills for explaining payroll and benefits topics to employees and stakeholders.
  • Bachelor’s degree in Human Resources, Business Administration, Finance, Accounting, or a related field, or equivalent practical experience.
  • FPC, CPP, or CEBS certification preferred.
