Description

  • Answer inbound calls and make outbound follow-up calls for the practice.
  • Assist patients with medication refill requests.
  • Communicate with patients using empathy, warmth, and clear English.
  • Set, confirm, and follow up on patient appointments.
  • Manage the inbox and patient communication workflows.
  • Verify insurance eligibility and update documentation in the EHR system.
  • Collect copays, follow up on payments, and maintain accurate financial records.
  • Support billing and coding tasks as insurance billing expands.
  • Engage prospective clients through Instagram DMs and social outreach.
  • Reactivate past or dormant patients and explore referral partnerships with local therapy offices.

Requirements

  • Prior experience in a mental health or psychiatric practice is strongly preferred.
  • Experience with Weave (VoIP) and Healthie (EHR) is strongly preferred.
  • Experience with insurance verification, billing, and copay collection is required.
  • Excellent spoken and written English with a clear, gentle tone is required.
  • Confidence handling phone-based patient conversations is required.
  • Familiarity with a root-cause mental health approach, functional medicine, and nutrition’s role in care is preferred.
  • Strong empathy, professionalism, organization, attention to detail, and self-motivation are required.
  • Social media savvy, especially for Instagram DM engagement, is required.
  • Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when required.
  • Must have a reliable laptop or desktop computer, stable internet of at least 25 Mbps, a noise-canceling headset, a working webcam, and a quiet professional workspace.
