Description

  • Answer incoming calls through Google Voice and provide professional support to new and existing patients.
  • Capture new patient inquiries and assist with intake and onboarding before first appointments.
  • Support billing operations by following up on back billing, accounts receivable, and denied claims.
  • Provide billing-related information and documentation support to billing managers.
  • Set up new patient records in Simple Practice and maintain organized patient files.
  • Upload scanned documents, forms, and fax files into the practice system.
  • Assist with scheduling, appointment coordination, and follow-up communications.
  • Conduct recall calls for previous patients when needed.
  • Support administrative workflows, document scanning, and file organization.
  • Communicate with patients and the team through WhatsApp, Google Meet, phone, and email.

Requirements

  • Previous healthcare or clinical administrative experience is preferred.
  • Experience with billing, insurance verification, or accounts receivable collections is preferred.
  • Experience with Simple Practice is required.
  • Mental health or behavioral health experience is a plus.
  • Previous virtual assistant experience is preferred.
  • Strong proficiency with Simple Practice and familiarity with Google Voice.
  • Experience with patient scheduling, onboarding, and healthcare administrative workflows.
  • Familiarity with billing denials, documentation, and HIPAA compliance.
  • Professional phone communication and patient interaction skills.
  • Must speak and write English very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer required.
  • High-speed internet connection required, minimum 10 Mbps.
  • Noise-canceling headset required.
  • Webcam required for virtual meetings.
  • Quiet, professional workspace required.
