Description

  • Serve as the primary point of contact for clients across Slack, email, text, phone, and Zoom.
  • Guide new clients through the onboarding process and ensure intake forms, expectations, and debriefs are completed.
  • Schedule, confirm, and recap Zoom interviews between clients and VA candidates.
  • Work closely with internal HR and Talent Sourcing teams to coordinate interviews and keep workflows moving.
  • Respond quickly to client inquiries, follow up proactively, and escalate urgent issues when needed.
  • Maintain organized, real-time client status updates and internal records in Google Docs.
  • Document action items, communications, and next steps accurately and on time.
  • Manage client email threads professionally and prioritize time-sensitive messages.
  • Maintain a friendly, polished, and solution-oriented client experience across all touchpoints.
  • Handle multiple active client accounts while staying composed under pressure.

Requirements

  • Previous experience in client success, customer support, account management, or a similar client-facing role.
  • Ability to stay calm, composed, and solutions-focused in fast-paced or high-pressure situations.
  • Fast, clear, and professional written and verbal communication skills.
  • Ability to manage multiple client accounts and priorities without dropping the ball.
  • Willingness to join video calls daily and appear on camera when needed.
  • Phone accessibility during work hours.
  • Strong attention to detail and organizational skills.
  • Tech-savvy and comfortable using Slack, Google Workspace (Gmail, Docs, Sheets, Drive), Zoom, and scheduling tools.
  • Reliable desktop or laptop computer, high-speed internet, webcam, and noise-canceling headset.
  • Must be available full-time Monday through Friday, 7:00 AM–4:00 PM Pacific Time.
  • Must have no concurrent work obligations and be able to work fully dedicated to the role.
  • Must pass an NBI or local police clearance background check before onboarding.
  • Must be proficient in speaking and writing English very clearly.
  • Relevant work experience is required.
  • Preferred experience in an agency environment such as digital marketing, staffing, recruitment, or SaaS.
  • Preferred experience handling high-volume clients, fast-paced teams, project coordination, client onboarding, or executive assistance.
