Description

  • Handle a high volume of incoming patient calls, referrals, and general inquiries.
  • Schedule, confirm, and follow up on patient appointments.
  • Maintain accurate records of patient calls, appointments, communications, and therapist availability.
  • Communicate with insurance companies about coverage, claims, authorization requirements, and approvals.
  • Process insurance claims and assist with prior authorizations and credentialing documentation.
  • Apply ICD-10, CPT, and HCPCS medical coding for claim submission.
  • Convert therapy units into billable hours and help ensure therapist schedules meet billing requirements.
  • Create and maintain Excel spreadsheets for schedules, authorizations, billing hours, and tracking records.
  • Use Excel formulas, sorting, filtering, and pivot tables to manage and analyze data.
  • Provide general administrative support, including document processing, patient correspondence, remote patient monitoring coordination, and interview scheduling.

Requirements

  • At least 1 year of experience in a similar role, such as Medical Receptionist, Billing Specialist, Patient Coordinator, or Medical Administrative Assistant.
  • Knowledge of medical billing, insurance verification, claims processing, prior authorization procedures, and credentialing.
  • Experience communicating with insurance providers about claims, coverage, or authorization requests.
  • Familiarity with medical coding standards including ICD-10, CPT, and HCPCS.
  • Spanish-speaking ability is preferred in a bilingual work environment.
  • Strong scheduling skills with the ability to manage a high volume of calls and referrals.
  • Experience with TheraBill or similar scheduling systems, or strong scheduling system proficiency.
  • Proficiency in Excel, including formulas, data organization, and reporting.
  • Ability to convert therapy units into billable hours and apply that in scheduling and billing.
  • Must speak and write English very clearly, maintain confidentiality, and demonstrate strong attention to detail, communication, and organization.
  • Must be able to submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Must have a reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, a noise-canceling headset, a webcam, and a quiet professional workspace.
  • Experience with remote patient monitoring or healthcare coordination is an advantage.
