Description

  • Manage executive calendars, inboxes, appointments, and scheduling priorities.
  • Track projects, deadlines, action items, and business initiatives.
  • Organize operational workflows and create schedules, templates, tracking systems, and documentation.
  • Follow up with leadership on outstanding priorities and commitments.
  • Coordinate communication with marketing vendors and external partners.
  • Answer incoming calls, handle scheduling inquiries, and manage appointment coordination.
  • Assist patients with administrative questions, payment checks, deposit tracking, and front desk support.
  • Upload lab requisitions, process prescription faxes, and organize insurance and clinical documentation in the EMR.
  • Track medication fulfillment and maintain workflow sheets, patient logs, and operational records.
  • Coordinate telehealth workflows and communication between providers, patients, laboratories, pharmacies, and vendors.

Requirements

  • Previous experience as an Executive Assistant, Operations Coordinator, Practice Administrator, Healthcare Administrator, or in a similar role.
  • Telehealth management experience is required.
  • Previous healthcare administration experience is strongly preferred.
  • Extensive experience with EHR/EMR systems is required.
  • Experience with Practice Fusion is strongly preferred.
  • Experience with LabCorp workflows is strongly preferred.
  • Strong organizational, time-management, project coordination, and task management skills.
  • Ability to work independently with minimal supervision and maintain strong follow-through and accountability.
  • Excellent written and verbal English communication skills, with bilingual English-Spanish skills highly preferred.
  • Must be able to provide an NBI clearance and/or Local Police Clearance before onboarding, and be available for video meetings with camera on when needed.
