Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events aligned with ICP and revenue goals.
  • Own and maintain a rolling 12-month event calendar.
  • Negotiate sponsorships, booth space, speaking opportunities, and vendor contracts.
  • Plan and execute all event logistics, including booth design, shipping, swag, collateral, lead capture, badge scanners, AV, catering, hotel blocks, and team travel.
  • Serve as the on-site point of contact at every event, including booth setup, teardown, and real-time troubleshooting.
  • Prepare attending team members with objectives, talking points, target accounts, and logistics.
  • Partner with sales to book pre-show meetings, run on-site customer events, and ensure leads are captured, qualified, and followed up on quickly.
  • Work with marketing on pre- and post-event campaigns to drive booth traffic and meeting bookings.
  • Manage the event budget, track spend, forecast costs, and make trade-off decisions as priorities shift.
  • Set KPIs for each event and build post-event reports that analyze leads, meetings, pipeline, ROI, and improvement opportunities.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • Track record of organizing events end to end, even at smaller scale.
  • Experience managing an events budget, including forecasting, spend tracking, and ROI-focused trade-offs.
  • Ability to define KPIs and build reports that connect event activity to pipeline and revenue.
  • Demonstrated use of AI to improve event marketing work such as research, vendor outreach, reporting, content drafting, or lead enrichment; this is required.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management skills across timelines, budgets, vendors, and multiple moving pieces.
  • Comfort negotiating with vendors and event organizers.
  • Excellent written and verbal communication skills.
  • Willingness and ability to travel 30% to 50% during peak seasons across North America, with potential European travel as the company expands.
  • Must be based in the US or Canada and live within roughly an hour of a major airport hub with strong direct flight connectivity.
  • Must have the right to work in the country of residence; visa sponsorship is not available.
  • Nice to have: experience with event tools such as Cvent, Splash, Bizzabo, or Goldcast.
  • Nice to have: experience working with international events or vendors.
  • Nice to have: background in B2B SaaS or a similar fast-paced tech environment.
