Description

  • Support applicant tracking system administration, candidate pipeline organization, interview scheduling, and candidate movement through the hiring process.
  • Manage timely, professional communication with candidates to ensure a strong candidate experience.
  • Coordinate new hire onboarding logistics, including trackers, scheduling, email creation, platform access, and permissions.
  • Maintain an evergreen talent pipeline by organizing records and re-engaging strong prior applicants for future roles.
  • Execute and track financial transfers and vendor payments, including Fellow stipends and domestic and international disbursements.
  • Support stipend processes by answering Fellow questions and presenting stipend expectations and procedures.
  • Track expenses and follow up on missing receipts or incomplete submissions in Expensify and Airtable.
  • Maintain financial trackers and records in Monday.com and Google Sheets for clear visibility and accuracy.
  • Optimize Google Workspace Admin organization, user access, and internal system structure for scalability and security.
  • Provide internal technical support, troubleshoot system issues, and help improve security and documentation.

Requirements

  • Meticulous attention to detail with strong organizational and project management skills.
  • A systems-minded approach with demonstrated experience building, testing, improving, and running processes.
  • Strong integrity and comfort handling sensitive information, making judgment calls, and escalating issues when needed.
  • Ability to stay organized, focused, and high-performing in fast-paced, high-volume, time-sensitive environments.
  • Excellent verbal and written communication skills and the ability to collaborate across teams.
  • Confidence navigating tech systems, including Google Workspace Admin, and interest in scalable internal systems.
  • Familiarity with applicant tracking systems (ATS) and using them to improve candidate experience.
  • Experience with Monday.com or similar workflow management tools.
  • Exposure to SaaS-based operational tools, with familiarity in Expensify preferred.
  • Ability to quickly learn and navigate new systems in a scaling environment.

  • Competitive base salary of $60,000-$65,000 depending on experience.
