Description

  • Own the company’s tech stack, including project management software, CRM, and communication tools, and ensure they are integrated and used effectively.
  • Build and maintain the company knowledge base of SOPs, scripts, and workflows.
  • Lead weekly 1:1s with department heads to track progress against quarterly goals and hold the team accountable to standards.
  • Act as the central hub for major company initiatives such as event launches, geographic expansion, and other strategic projects.
  • Keep projects on budget and on schedule while identifying and removing blockers before they delay progress.
  • Review departmental spending and budgets with the CEO and provide operational insight on performance.
  • Analyze operational data to identify trends in client churn, sales efficiency, and delivery capacity.
  • Own the company’s operating rhythm, including daily huddles, weekly lead-team meetings, and quarterly offsites.
  • Ensure communication is clear, meetings are productive, and action items are captured and followed through.
  • Translate high-level strategic goals into project plans with clear owners, timelines, and milestones.

Requirements

  • 5+ years of senior operations experience as a COO, Director of Ops, or GM in professional services, coaching, or a high-growth agency environment.
  • Demonstrated experience building systems yourself, not just managing teams that built them.
  • Ability to lead a distributed team across multiple time zones.
  • Availability during core Eastern Time business hours is mandatory.
  • Expert proficiency with project management tools, with ClickUp preferred.
  • Experience using CRM systems such as GoHighLevel or HubSpot.
  • Strong working knowledge of Slack and internal communication workflows.
  • Ability to operate at a high level of visibility and accessibility in a remote environment.
  • Experience in a systems-first, high-growth, or agency-style business is preferred.
