Description

  • Manage the Marketing Manager’s calendar, scheduling, and daily priorities to keep the team on track
  • Draft and send communications on behalf of the marketing team and prepare meeting agendas, notes, and follow-up action items
  • Organize and maintain marketing documentation, standard operating procedures (SOPs), and file systems
  • Plan and coordinate logistics for state and national municipal conferences, including timelines, compliance requirements, booth materials, and vendor deadlines
  • Coordinate travel arrangements and pre-event preparation for the team, and compile post-event notes, lead lists, and performance summaries
  • Maintain marketing project calendars and production schedules in ClickUp or similar tools and track status of active campaigns, flagging delays or blockers
  • Coordinate asset handoffs between designers, copywriters, and external agencies and ensure brand consistency before publication
  • Manage day-to-day communication with printers, designers, and marketing contractors, tracking deliverable timelines and invoice status
  • Pull and organize marketing performance data for weekly and monthly reporting and maintain dashboards and KPI tracking in project management and CRM systems
  • Support alignment between marketing and sales by coordinating shared workflows and cross-team communications

Requirements

  • 2–4 years of experience in an operations assistant, marketing coordinator, or operations role
  • Proven ability to manage complex calendars, communications, and logistics across multiple stakeholders
  • Experience supporting a marketing, sales, or creative team (strong plus)
  • Highly organized with exceptional documentation discipline and attention to detail
  • Proactive and self-directed with the ability to anticipate needs and act without detailed instructions
  • Clear, confident communicator in writing and verbally
  • Proficient in Google Workspace and project management tools (ClickUp, Asana, or similar) and comfortable using CRM platforms
  • Comfortable working in a B2G, SaaS, or structured service environment
  • Able to work U.S. Central Time hours from a remote location
