Description

  • Manage the full lifecycle of rebate applications from initial job setup through final submission.
  • Maintain checklists for each job to ensure all required steps are completed accurately and on time.
  • Collect, organize, and verify before-and-after photos and supporting documentation for rebate compliance.
  • Liaise with installers, technicians, and internal team members to keep tasks documented and completed correctly.
  • Update rebate records in spreadsheets and the Simpro job management system, flagging missing information or discrepancies.
  • Track KPIs, maintain spreadsheets, and keep rebate application records organized and audit-ready.
  • Provide regular status updates and escalate issues promptly to the client or account manager.
  • Ensure compliance with program guidelines, deadlines, reporting requirements, and version control processes.
  • Support the operations team with general administrative tasks as needed.
  • Suggest process improvements and help optimize workflows.

Requirements

  • 2–4 years of experience as a Virtual Assistant, Administrative Assistant, or in a similar role.
  • Experience with Simpro systems is essential.
  • Strong proficiency in Microsoft Excel and Office Suite, including formulas, pivot tables, and workflow organization.
  • Prior exposure to rebate programs, energy schemes, or trade services administration is highly desirable.
  • Excellent attention to detail, organizational skills, and integrity.
  • Clear and concise written and verbal English communication skills.
  • Ability to work independently, prioritize tasks effectively, and meet deadlines.
  • Comfortable following structured workflows, version control, and reporting processes.
  • Adaptable, proactive, and able to suggest process improvements.
  • Must be able to support Australian working hours.
