Description

  • Create and manage up to 100 invoices per month in QuickBooks Online.
  • Ensure billing accuracy across multiple service lines and maintain supporting documentation for contracts, billing terms, and commission structures.
  • Respond to client billing inquiries and resolve invoicing issues.
  • Track incoming payments, manage accounts receivable aging, and follow up on overdue balances through email and phone.
  • Calculate recruiter and channel commissions and manage variable and residual compensation payouts.
  • Process U.S. payroll for approximately 10 employees and manage 1099 contractor payments.
  • Prepare and coordinate W-2 and 1099 filings, including related payroll administration tasks such as 401(k) contributions.
  • Manage vendor, contractor, recurring expense, credit card, and international payment workflows.
  • Maintain accurate cash-basis books, reconcile bank and credit card accounts, and keep the general ledger clean.
  • Export monthly financial reports from QuickBooks and coordinate with external CPAs on tax filings and year-end close.

Requirements

  • At least 5 years of accounting or bookkeeping experience.
  • Advanced proficiency in QuickBooks Online.
  • Experience managing commissions and variable compensation.
  • Comfort handling collections professionally.
  • Experience coordinating with external CPAs.
  • Strong organizational skills and attention to detail.
  • Clear written and verbal communication skills.
  • Experience working in service-based businesses.
  • Preferred: experience with international payments.
  • Preferred: experience in recruiting, SaaS, or professional services environments.
