Description

  • Manage a high volume of inbound patient calls with a calm, professional, and courteous demeanor.
  • Triage incoming calls and route urgent clinical matters or emergency escalations to the appropriate staff.
  • Send appointment reminders, request registration forms, and distribute pre-visit instructions via text messaging.
  • Return patient voicemails, respond to text inquiries, and document all communication outcomes in ModMed.
  • Schedule, reschedule, and cancel patient appointments while optimizing the physician’s daily calendar.
  • Monitor no-shows and cancellations, and fill open slots using the clinic waitlist.
  • Coordinate external specialist referrals and track follow-up appointment timelines.
  • Verify patient demographics, insurance eligibility, and referral requirements before scheduled visits.
  • Process co-pays, track outstanding balances, and assist with basic financial questions in coordination with billing staff.
  • Prepare and deliver a daily administrative report to the Attending Physician covering appointments, intake status, authorizations, callbacks, and collections.

Requirements

  • Minimum 2 years of direct administrative experience as a medical receptionist or coordinator in a high-volume U.S. clinical practice.
  • Fluent bilingual proficiency in English and Spanish, including speaking, reading, and writing.
  • Hands-on experience with the ModMed EHR system is heavily preferred.
  • Experience managing multi-line cloud phone systems such as Nextel, RingCentral, or similar platforms.
  • Working knowledge of medical insurance verification, co-pay posting, and front-office billing protocols.
  • Strict adherence to HIPAA privacy laws and data confidentiality standards.
  • A completely silent, secure home office setup with high-speed internet and an automated time-tracking system.
  • Prior administrative experience supporting a New York State-based medical practice is preferred, including familiarity with NYS Medicaid Managed Care or NYC Health + Hospitals patients.
