Description

  • Process and track incoming and outgoing referrals for orthopedic consultations, imaging, physical therapy, and surgical procedures.
  • Coordinate with ordering providers, specialists, and clinical facilities to ensure referral packages and medical records are received.
  • Follow up on pending referrals and outstanding authorizations to avoid delays in patient care.
  • Verify patient insurance benefits and obtain prior authorizations for referred services.
  • Work with the billing team to ensure authorization numbers are captured and documented before scheduled services.
  • Use CPT and ICD-10 codes to submit accurate clinical authorization requests through insurance portals.
  • Handle a high volume of inbound and outbound calls from patients, providers, and insurance carriers.
  • Communicate referral status updates and clinical requirements to patients in both English and Spanish.
  • Provide empathetic and professional customer service to support patients and reduce anxiety about care timelines.

Requirements

  • Minimum 2+ years of referral coordination or medical administrative experience in a U.S.-based practice.
  • Fluent in reading, writing, and speaking both English and Spanish.
  • Working knowledge of insurance authorization workflows, medical portals, and major payer network differences.
  • Familiarity with orthopedic CPT and ICD-10 diagnostic codes.
  • Excellent written and verbal communication skills in both languages.
  • Highly organized approach to managing high-volume data and administrative tasks.
  • Direct hands-on experience with the ModMed (EMA) platform (preferred).
  • Experience in Orthopedics, Spine, Sports Medicine, Pain Management, or a related musculoskeletal surgical specialty (preferred).
  • Experience coordinating complex imaging authorizations such as orthopedic MRIs or CT scans (preferred).
