Description

  • Lead and execute end-to-end congress, webinar, advisory board, and medical education event projects for onsite and remote formats.
  • Build, configure, and launch live engagement apps and event experiences in SpotMe Backstage and related tools.
  • Manage customers and senior stakeholders with clear, timely communication throughout the project lifecycle.
  • Coordinate event-day execution with stakeholders, faculty, field teams, booth staff, and agencies.
  • Train faculty, field sales teams, booth staff, and agencies on event processes and technology.
  • Ensure onsite technology such as interaction tracking, microapps, iPads, and badge printers is fully configured and tested.
  • Brief speakers and support smooth operations for webinars, virtual sessions, symposiums, and onsite meetings.
  • Handle post-event communications, analyze event data, and deliver reports, dashboards, and recommendations.
  • Translate complex pharma meeting workflows into standard operating procedures and practical project processes.
  • Support business development by contributing to upsell opportunities and sales-led activities when needed.

Requirements

  • 2+ years of experience in congress engagement, KOL and pharma stakeholder management, or congress/medical education event planning and execution.
  • Experience with agency or corporate pharma meetings project management or event planning.
  • Strong knowledge of pharma meeting and congress planning, including Commercial, Medical, and Legal review workflows.
  • Ability to work across US and EU customers, KOLs, and medical societies.
  • Ability to balance regulatory compliance and legal review with business needs.
  • Technical dexterity and ability to build and ship practical solutions.
  • Comfort navigating escalation paths and pharma decision-making processes.
  • Product-minded approach with the ability to generalize customer needs into effective solutions.
  • Willingness to travel frequently, with 20% to 40% of time onsite, and work out of hours and weekends.
  • 2-4 years of experience in event or meeting management or a closely related function preferred.

Benefits

  • Total compensation of $70,000-$95,000 annually, depending on location, experience, and travel frequency.
