Description

  • Lead and execute congress, webinar, advisory board, and medical education projects across onsite and remote formats.
  • Build, configure, test, and launch web, mobile, portal, video, and AI engagement applications in SpotMe Backstage.
  • Manage customer, KOL, faculty, agency, and internal stakeholder communications throughout the project lifecycle.
  • Coordinate event readiness, including stakeholder alignment, speaker preparation, staff training, app reviews, and onsite technology testing.
  • Manage virtual and in-person event operations, including interaction tracking, iPads, microapps, and badge printers.
  • Brief and prepare speakers for webinars, virtual sessions, standalone meetings, and symposiums.
  • Conduct post-event communications, analyze event data, and deliver reports, dashboards, and recommendations.
  • Manage multiple projects independently, provide onsite support, and supervise junior team members as experience develops.
  • Contribute to program leadership, upsell opportunities, and business development activities.

Requirements

  • 2+ years of experience in congress engagement, pharma meetings, medical education, event planning, or a closely related function.
  • Experience managing congresses, conventions, KOLs, pharma stakeholders, and medical education events.
  • Understanding of Commercial, Medical, and Legal Review approval workflows in the pharmaceutical industry.
  • Strong stakeholder-management and customer-service skills with US and EU customers, KOLs, and medical societies.
  • Ability to influence stakeholders, escalate issues appropriately, and navigate pharma decision-making processes.
  • Ability to balance regulatory and legal compliance with business objectives and project momentum.
  • Technical aptitude to build, configure, test, and launch event technology solutions.
  • Ability to translate complex workflows into clear standard operating procedures.
  • Product-oriented judgment when generalizing customer needs and prioritizing valuable solutions.
  • Availability for frequent travel, out-of-hours work, and weekends; approximately 20–40% onsite travel required.

  • Annual total compensation of $70,000–$95,000, adjusted for location, experience, and travel frequency.
