Description

  • Lead and execute end-to-end congress, webinar, advisory board, and medical education event projects across onsite and remote formats.
  • Build, configure, and launch live engagement apps and event experiences in SpotMe Backstage CMS.
  • Manage customers and senior stakeholders with clear, timely communication throughout the project lifecycle.
  • Coordinate event-day execution, including faculty, field sales teams, booth staff, agencies, and onsite technology.
  • Train speakers and event teams and review apps and setups to ensure flawless delivery.
  • Configure and test event technology such as interaction tracking, microapps, iPads, and badge printers end to end.
  • Handle post-event communications, analyze event data, and deliver reports, dashboards, and recommendations.
  • Support project planning, workflow improvement, and SOP execution across commercial, medical, and legal review processes.
  • Own program continuity and contribute to business development and upsell opportunities as needed.

Requirements

  • 2+ years of experience in congress engagement, KOL and pharma stakeholder management, and congress/medical education event planning and execution.
  • Background in agency or pharma meetings project management or event/meeting planning.
  • Strong understanding of pharma event approval workflows across Commercial, Medical, and Legal Review.
  • Experience managing pharma meeting and congress planning and execution end to end.
  • Ability to translate complex workflows into clear standard operating procedures.
  • Experience building practical solutions and working comfortably with technology.
  • Ability to balance regulatory compliance, legal review, and business needs.
  • Fluent German and English.
  • Willingness to travel frequently, work out of hours, and work weekends.
  • Approximately 2-4 years of experience in event or meeting management or a closely related function.
  • Experience with international projects, onsite events, and cross-regional stakeholders is preferred.
