Description

  • Lead and execute end-to-end congress, webinar, advisory board, and medical education event projects onsite and remotely.
  • Build, configure, and launch live engagement apps and event environments using SpotMe Backstage CMS.
  • Manage customer and senior stakeholder communications throughout the full project lifecycle.
  • Coordinate event-day execution, including faculty briefings, staff training, and onsite technology setup and testing.
  • Ensure speakers are fully prepared for webinars, virtual sessions, and onsite presentations.
  • Oversee smooth operations for both virtual and face-to-face projects.
  • Handle post-event communications, analyze event data, and deliver reports, dashboards, and recommendations.
  • Support project planning, approvals, and workflows across Commercial, Medical, and Legal Review processes.
  • Manage multiple projects independently with minimal supervision and maintain quality control across core event modules.
  • Contribute to business development and program continuity as the role grows.

Requirements

  • 2+ years of experience in congress engagement, pharma stakeholder management, and congress or medical education event planning and execution.
  • Experience in agency or corporate pharma meetings/project management or event planning.
  • Strong knowledge of pharma meeting and congress workflows, including Commercial, Medical, and Legal Review approval processes.
  • Ability to translate complex workflows into clear standard operating procedures.
  • Experience working with US and EU customers, KOLs, and medical societies.
  • Ability to influence stakeholders and escalate issues effectively when needed.
  • Technical dexterity and ability to deliver practical solutions by building and shipping.
  • Ability to balance pharma regulatory compliance with business objectives.
  • Product-minded approach with the ability to generalize customer needs into valuable solutions.
  • 2-4 years of experience in event or meeting management or a closely related function, and frequent travel, out-of-hours availability, and weekend work are required.
