Description

  • Lead and execute end-to-end congress, webinar, advisory board, and education event projects for onsite and remote formats.
  • Build, configure, and launch live engagement apps using SpotMe Backstage CMS.
  • Manage customers and senior stakeholders with clear, timely communication across the project lifecycle.
  • Coordinate event-day execution with stakeholders to ensure smooth delivery.
  • Train faculty, field sales teams, booth staff, and agencies on event tools and processes.
  • Review and test event apps and onsite technology such as interaction tracking, microapps, iPads, and badge printers.
  • Ensure speakers are fully briefed and prepared for webinar, virtual, and onsite sessions.
  • Oversee post-event communications, analyze event data, and deliver reports, dashboards, and recommendations.
  • Support project planning, execution, and follow-up with minimal supervision and strong quality control.

Requirements

  • 2+ years of experience in congress engagement, KOL and stakeholder management, or congress and education event planning/execution.
  • Background in agency meetings, project management, or event/meeting planning.
  • Experience working with Commercial and Legal Review approval workflows in pharma or similar regulated environments.
  • Ability to build and ship practical technical solutions confidently.
  • Strong stakeholder management skills with US and EU customers, KOLs, and medical societies.
  • Ability to balance regulatory compliance and business needs while keeping projects moving.
  • Comfort with frequent travel, out-of-hours availability, and weekend work.
  • Willingness to spend about 20% to 40% of time traveling onsite.
  • Experience influencing decision-makers and escalating issues when needed.
  • Preferred: experience across webinars, congresses, education events, and advisory boards.
