Description

  • Coordinate AI-related efforts across Business Units, delivery teams, BizDev, People, IT, and Finance to align priorities and unblock initiatives.
  • Own AI adoption data by collecting, maintaining, and reporting metrics that reflect actual usage.
  • Co-organize internal AI events such as demos, knowledge-sharing sessions, and workshops, and support internal AI communications.
  • Identify, engage, and maintain a network of AI Champions who help drive adoption across their teams.
  • Shape AI governance projects from early concept through execution-ready scope, owners, dependencies, and success criteria.
  • Track and report AI strategy execution end to end, including operating cadence materials, decision logs, follow-ups, and leadership digests.
  • Identify risks and blockers across AI adoption initiatives and drive mitigation with functional owners in line with security and governance guidelines.
  • Partner with IT on AI tooling lifecycle, policy, and procurement, and with L&D on AI learning programs.
  • Maintain a structured, AI-amplified knowledge base for the AI Office, including documents, decisions, playbooks, and references.
  • Capture lessons from pilots and delivery work and package them into reusable artifacts to scale AI experience across the organization.

Requirements

  • 4+ years of experience in technical program management, business operations, Chief of Staff, or similar cross-functional coordination roles in a technology company.
  • Proven ability to integrate departments and drive cross-functional initiatives with stakeholders at different seniority levels.
  • Moderate to advanced project and program management skills, including the ability to design and run effective operational rhythms.
  • Excellent document organization and structuring skills; experience organizing AI knowledge bases or institutional memory is highly valued.
  • Power-user proficiency with modern AI tools such as ChatGPT, Claude, Gemini, Copilot, Cursor, or similar.
  • Hands-on interest in designing and improving personal agentic workflows.
  • Broad organizational understanding of functions such as Legal, Finance, People, IT, Delivery, BizDev, and L&D.
  • Strong understanding of how AI is changing knowledge work and software delivery, including current limitations and caution areas.
  • Excellent self-prioritization and self-management, with a track record of closing loops with minimal supervision.
  • A technical background or active technical curiosity is highly desired; strong humanitarian backgrounds with strong analytical and operational capability are also welcome.
  • Fast learner who stays current on AI without getting distracted by hype.
  • Bonus: prior experience in custom software services, consulting, or technology-led organizations.
  • Bonus: exposure to engineering or delivery environments such as SDLC, Agile, or DevOps.
  • Bonus: experience working directly with senior leadership as an integrator, Chief of Staff, or senior program lead.
  • Bonus: familiarity with OKR or structured planning frameworks.
  • Bonus: experience coordinating with IT/InfoSec on tooling governance and policy.
