Description

  • Answer incoming calls with professionalism, empathy, and clarity.
  • Support pet owners with questions and appointment coordination.
  • Schedule, reschedule, and confirm appointments.
  • Maintain efficient calendar utilization based on clinic needs.
  • Follow up on missed calls, voicemails, cancellations, and no-shows.
  • Route messages to the appropriate clinic staff.
  • Maintain accurate client and patient records.
  • Support inbox management, reminders, and daily administrative workflows.
  • Deliver a calm and supportive client experience aligned with veterinary care standards.
  • Handle high call volumes while maintaining quality service.

Requirements

  • 3+ years of experience in customer service, receptionist, or scheduling roles.
  • Experience in veterinary, medical, or other high-volume service environments preferred.
  • Strong phone presence and ability to manage frequent calls.
  • Comfortable using CRM systems, scheduling tools, and digital platforms.
  • High attention to detail and strong organizational skills.
  • Fluent English, spoken and written.
  • Spanish is a strong plus.
  • Reliable remote setup with stable high-speed internet.
  • Available to work full-time in U.S. time zones (EST, CST, or PST).
  • Professional and quiet remote work setup with a PC.
  • Strong Zoom presence and polished communication skills.
  • Ability to balance client interactions with administrative responsibilities.
  • Submission of an introductory video as part of the hiring process.
