Description

  • Proactively manage the CEO’s calendar and schedule, resolving conflicts before escalation.
  • Prepare meeting agendas, briefing materials, and post-meeting summaries.
  • Draft, review, and manage emails, internal communications, and operational reports.
  • Serve as the virtual point of contact between the CEO and department heads, following up on delegated tasks and deadlines.
  • Maintain digital files and documentation in Dropbox and Google Docs to keep critical information accurate and accessible.
  • Track KPIs and monitor the progress of initiatives, escalating only issues that require CEO attention.
  • Support onboarding, document organization, and special projects while identifying process gaps and suggesting improvements.
  • Assist with client management processes and track automation workflows in GoHighLevel.
  • Coordinate across departments and stakeholders to help ensure deadlines and performance targets are met.

Requirements

  • Minimum 3 years of experience supporting senior executives or business owners.
  • Highly proficient with GoHighLevel.
  • Skilled in Google Workspace, Dropbox, Microsoft Office, Telegram, Zoom, WhatsApp, and email/video platforms.
  • Able to make decisions, prioritize tasks, and handle escalations without constant oversight.
  • Exceptional written and verbal communication skills with the ability to synthesize information clearly for the CEO.
  • Strong professionalism, discretion, accountability, and confidentiality when handling sensitive business and client information.
  • Experience providing executive support, calendar management, project management, and cross-department coordination.
  • Able to work full-time, remotely from the Philippines.
  • Comfortable working async and aligned to US business hours.
  • Must provide a resume and a short scenario response describing how to handle three overlapping CEO priorities with conflicting deadlines.
