Description

  • Answer and manage inbound patient calls in a professional, warm, and empathetic manner.
  • Schedule, reschedule, and confirm patient appointments.
  • Assist patients with questions about appointments and clinic processes.
  • Handle sensitive conversations with distressed, anxious, frustrated, or emotionally vulnerable patients with patience and sensitivity.
  • Communicate clearly with elderly patients and others who need extra explanation or assistance.
  • Accurately capture and update patient information in the EMR/medical system.
  • Maintain accurate and confidential patient records.
  • Follow clinic procedures and ensure scheduling information is recorded correctly.
  • Escalate urgent or sensitive matters to the appropriate clinical or administrative team member.
  • Complete general administrative duties and use Microsoft Excel or other office systems as required.

Requirements

  • Previous experience in medical reception, healthcare administration, patient scheduling, customer service, call centre, or a similar role.
  • Exceptional telephone and verbal communication skills.
  • Demonstrated ability to communicate with empathy, patience, and emotional intelligence.
  • Comfortable dealing with sensitive, emotional, or vulnerable individuals.
  • Strong computer literacy and ability to learn and navigate an EMR/medical system.
  • Excellent attention to detail and accuracy.
  • Strong organisational and time-management skills.
  • Professional, calm, and composed under pressure.
  • Excellent spoken English and a clear, professional telephone manner.
  • Part-time availability for US hours (9am-5pm EST).
