Description

  • Serve as the primary point of contact for 40+ assigned clinics across the United States and coordinate scheduling across provider calendars.
  • Match clients with providers based on demographic requirements, resource availability, and departmental timeline goals.
  • Schedule physical and behavioral health disability assessments and support provider or clinic change requests as needed.
  • Act as the external scheduling expert for clients, including follow-ups, wait time communication, and visitation coordination.
  • Answer and direct calls promptly, return voicemails within established timelines, and maintain an organized shared team email inbox.
  • Ensure compliance processes and clinic procedures are followed and protect personally identifiable information and personal health information.
  • Coordinate with internal departments on scheduling exams and managing wait times for Veteran clients.
  • Support a positive client and provider experience through consistent service and communication.

Requirements

  • 1+ years of experience in client experience, scheduling, project coordination, clinic operations, or a related field.
  • Proficiency in Microsoft Office Suite and multiple platforms such as Salesforce, ZoHo, Slack, and Teams.
  • Previous experience in the medical industry is preferred.
  • Previous experience in a data-driven environment and reporting on daily activities is preferred.
  • Previous experience working with the Veteran community or within VA regulations is preferred.
  • Ability to remain on the phone for extended periods while sitting or standing.
  • Strong organizational, multitasking, and problem-solving skills in ambiguous and fast-paced environments.
  • Excellent interpersonal and communication skills, including the ability to navigate difficult conversations with empathy.
  • Exceptional attention to detail and a proactive, analytical approach.
  • High school diploma or equivalent required; associate’s, bachelor’s, or equivalent degree is preferred.
