Description

  • Coordinate travel arrangements for project personnel, including flights, hotels, rental vehicles, camp accommodations, and ground transportation.
  • Manage workforce rotation schedules and maintain accurate travel and mobilization trackers.
  • Communicate travel itineraries and logistical information to employees and project teams.
  • Coordinate new-hire mobilization requirements, including travel, accommodations, and onboarding logistics.
  • Maintain site communication logs, personnel rosters, emergency contact information, and travel records.
  • Assist with site staff onboarding documentation, orientation scheduling, timesheet maintenance, and other workforce administration tasks.
  • Track and reconcile travel-related expenses, invoices, and vendor charges.
  • Liaise with airlines, travel agencies, accommodations, camp providers, and transportation vendors.
  • Support project teams with document control, data entry, reporting, and meeting coordination.
  • Assist with emergency travel changes, schedule adjustments, and workforce logistics issues as needed.

Requirements

  • 3-5 years of experience in logistics, HR, and travel coordination.
  • Experience in the construction industry is an advantage but not required.
  • Strong experience in logistics and travel coordination will be given primary consideration.
  • Excellent coordination and communication skills.
  • Highly proactive and able to work with minimal supervision.
  • Good knowledge of Canada geography as it relates to booking hubs, site locations, and office locations.
  • Ability to handle difficult site personnel professionally and maintain a sense of humor.
  • Availability to take after-hours calls when site staff need assistance.
