Description

  • Call new referrals to document student needs, learning gaps, and availability.
  • Update the internal job board with student profiles so the matching team can source the right tutor.
  • Confirm that tutors and families have exchanged contact information and established a recurring weekly schedule.
  • Send standardized SMS and email surveys to parents after the first session to confirm satisfaction and support match retention.
  • Audit attendance daily, investigate missed sessions, and contact families when attendance declines.
  • Follow up on tutor change requests and help prevent students from losing momentum during transitions.
  • Review authorized hours versus actual hours, and contact parents of under-utilizing students to encourage booking and protect contract value.
  • Conduct outbound outreach to lost leads and referred students from district or program partners.
  • Monitor and respond to incoming tasks and messages, and resolve scheduling, communication, or technical issues as they arise.
  • Serve as the primary point of contact for family questions and concerns, and complete scheduled check-ins with families.
  • Update and clean family data in program databases and verify data accuracy for KPI, partner, district, and billing reporting.

Requirements

  • Bachelor’s degree required.
  • 2–3 years of progressive professional experience with increasing responsibility and career growth.
  • Strong time management, planning, prioritization, and organizational skills.
  • Ability to manage multiple responsibilities in a fast-paced, dynamic environment.
  • Excellent written and verbal communication skills in virtual and remote work settings.
  • Proficiency using communication channels such as telephone, email, in-person meetings, and video conferencing platforms.
  • Ability to build rapport and trust with customers, colleagues, and stakeholders in virtual relationships.
  • Collaborative mindset with experience working across cross-functional teams.
  • Self-motivated and able to work independently with minimal supervision.
  • Proficient in Microsoft Office Suite and Google Workspace applications.
  • Experience working in a remote operations environment and with virtual teams.
  • Bilingual English and Spanish is highly preferred.
  • Strong knowledge of the K–12 education sector, including Special Education (IEP/504) and/or Foster, Homeless, and Youth (FHY) populations, is highly preferred.
