Description

  • Manage complex executive calendars across multiple time zones and resolve scheduling conflicts proactively.
  • Coordinate internal and external meetings, executive briefings, and supporting materials.
  • Manage and prioritize executive email communications and screen calls and correspondence.
  • Draft, edit, and proofread executive emails, reports, presentations, and other communications.
  • Coordinate domestic and international travel, itineraries, logistics, and expense reconciliation.
  • Support strategic initiatives, executive projects, deadlines, deliverables, and action items.
  • Coordinate cross-functional teams, stakeholders, board meetings, off-sites, and company events.
  • Prepare meeting notes, distribute action items, and track follow-ups.
  • Maintain confidential records, contracts, documentation, and executive files.
  • Improve administrative systems, workflows, and day-to-day executive office operations.

Requirements

  • 5+ years of experience as an Executive Assistant, Senior Administrative Assistant, Chief of Staff, or Executive Operations professional.
  • Proven experience supporting CEOs, founders, presidents, or C-suite executives.
  • Experience managing complex executive calendars, executive communications, and high-priority projects.
  • Strong organizational and project management skills.
  • Excellent written and verbal English communication.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to manage multiple priorities in fast-paced environments.
  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Experience supporting executives in startups, consulting, finance, legal, technology, or high-growth organizations (preferred).
  • Experience with Microsoft Office Suite, Google Workspace, project management tools, video conferencing tools, expense/travel platforms, and AI productivity tools such as ChatGPT or Microsoft Copilot.
