Description

  • Handle 10–20 daily maintenance requests through phone, email, and tenant portals.
  • Log, track, and update maintenance requests in Yardi, AppFolio, or Buildium.
  • Prioritize urgent issues such as plumbing leaks, HVAC failures, and safety risks.
  • Create, assign, and track work orders from open to completed status.
  • Follow up on work orders until full resolution and close tickets only after tenant confirmation.
  • Schedule, dispatch, and coordinate vendors for repairs, inspections, and recurring services.
  • Verify vendor availability, licensing, and insurance compliance before dispatch.
  • Review invoices and confirm they match completed work and agreed timelines.
  • Maintain audit-ready records for work orders, vendor documentation, and invoices.
  • Prepare weekly reports and monthly insights on tickets, costs, recurring issues, and preventive maintenance.

Requirements

  • 2+ years of experience in property management or maintenance coordination.
  • Hands-on experience with Yardi, AppFolio, or Buildium.
  • Strong organizational and multitasking skills.
  • Experience with vendor scheduling, invoice review, and maintenance workflows.
  • Proficiency in Microsoft Office or Google Workspace.
  • Ability to work U.S. business hours with flexibility for urgent issues.
  • Experience managing 100+ unit portfolios is preferred.
  • Knowledge of HVAC systems, plumbing, and electrical basics is preferred.
  • Experience with compliance and safety standards is preferred.
  • Background in preventive maintenance programs is preferred.
