Description

  • Manage executive calendars and scheduling across multiple time zones.
  • Coordinate meetings, appointments, business commitments, and virtual meetings.
  • Resolve scheduling conflicts and prioritize executive time effectively.
  • Prepare agendas, reminders, meeting materials, and briefing documents.
  • Manage and organize executive inboxes and follow up on action items and requests.
  • Draft, edit, and proofread emails, reports, internal communications, and business documents.
  • Coordinate domestic and international travel, including flights, accommodations, transportation, itineraries, changes, and expense reconciliation.
  • Prepare presentations, reports, and other administrative materials.
  • Organize digital files and records, process expense reports, and handle administrative requests.
  • Support ongoing projects, operational initiatives, and ad hoc executive support tasks.

Requirements

  • 2+ years of experience as an Executive Assistant, Administrative Assistant, Virtual Assistant, Operations Coordinator, or in a similar role.
  • Experience supporting managers, directors, executives, or leadership teams.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote environment.
  • High level of professionalism, reliability, and attention to detail.
  • Experience supporting executives in startups, agencies, professional services, or remote organizations (preferred).
  • Experience managing multiple calendars and competing priorities (preferred).
  • Experience coordinating meetings across international time zones (preferred).
  • Familiarity with executive operations and project coordination (preferred).
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Proficiency with Google Workspace, including Gmail, Calendar, Docs, Sheets, and Drive.
  • Experience with collaboration and project management tools such as Slack, Notion, Asana, Trello, or similar platforms.
  • Experience with video conferencing tools such as Zoom, Microsoft Teams, or Google Meet.
