Description

  • Manage inbound client inquiries, prioritize urgent requests, and maintain proactive communication throughout active projects.
  • Draft professional emails, updates, and follow-ups to support client relationships and timely responses.
  • Coordinate with freelance contractors and external vendors to keep projects moving on schedule.
  • Track project milestones, deliverables, deadlines, and follow-ups, escalating delays or operational issues when needed.
  • Maintain accurate client records and CRM data in GoHighLevel, including pipelines, workflows, notes, and follow-up tasks.
  • Support onboarding workflows and other administrative setup tasks.
  • Manage executive calendars using Google Calendar, Gmail, and Google Workspace, and coordinate meetings and appointments.
  • Prepare agendas, notes, and supporting materials for meetings and track action items to completion.
  • Conduct research on vendors, inventory, market comparisons, and operational needs, then summarize findings for leadership.
  • Support leadership with operational decision-making by organizing data, reports, and workflow updates.

Requirements

  • 2+ years of experience supporting founders, executives, operations teams, or small business owners.
  • Experience in executive assistance, operations coordination, administrative support, or client communication.
  • Hands-on experience with GoHighLevel (GHL).
  • Experience with Google Workspace, Gmail, Google Calendar, Google Drive, and Google Docs.
  • Experience managing CRM workflows and maintaining accurate CRM records.
  • Strong organizational, workflow management, multitasking, and coordination skills.
  • Excellent written and verbal English communication.
  • Ability to work independently in a remote environment.
  • Reliable remote work setup with stable internet.
  • Preferred experience in automotive operations, client coordination, or service-based businesses.
  • Preferred familiarity with Gamma, Google Slides, Microsoft PowerPoint, or NotebookLM.
  • Preferred experience supporting founders in high-growth businesses.
