Description

  • Manage property operations related to lease renewals, rent collection, vacancies, and tenant communications.
  • Prepare court files immediately when a legal case opens, ensuring evidence folders, service proof, and lease documents are organized and court-ready.
  • Monitor lease expirations daily and issue renewal notices at least 5 months before lease end dates.
  • Track rent collection in building software daily and send firm payment reminders by text and email on the 2nd of each month.
  • Maintain a clear record of all tenant communications to support legal proceedings and create an evidence trail.
  • File cases with the court for non-payment or lease violations.
  • Coordinate the bailiff (huissier) process and maintain detailed logs of what was sent and when it was served.
  • Maintain a real-time Google Sheet of vacant units and upcoming move-outs.
  • Respond promptly to tenants seeking to break leases and communicate their continued contractual responsibility.
  • Serve as the primary point of contact for tenants, attorneys, and courts while keeping records organized and communication clear.

Requirements

  • Fluent bilingual English and French; French and English are mandatory for legal filings.
  • Strong organizational skills with the ability to independently manage personal and court calendars without reminders.
  • Professional, firm, and composed communication style for difficult tenant interactions.
  • Proactive mindset that anticipates issues and prepares solutions in advance.
  • Experience in property management or legal operations within a real estate environment is preferred.
  • Ability to maintain detailed logs, organized records, and a consistent paper trail for legal documentation.
  • Comfort working in a back-office position.
  • Ability to work a morning shift.
  • Availability to work in Santiago, if applicable to the role context.
