Description

  • Create and maintain staff rosters based on client requirements, worker availability, and operational needs.
  • Coordinate shift allocations, schedule changes, roster updates, and emergency coverage.
  • Manage last-minute shift changes, call-outs, shift swaps, and replacement staffing.
  • Maintain communication with carers, clients, management, and payroll regarding roster and service updates.
  • Support client intake and onboarding administration, including service commencement requirements.
  • Maintain accurate client, roster, availability, attendance, and scheduling records.
  • Monitor staff hours, certifications, and compliance requirements to identify risks.
  • Ensure rosters align with award requirements and organisational policies.
  • Review and collate timesheets, investigate discrepancies, and assist with pay-related queries.
  • Prepare roster reports, shift summaries, occupancy reports, and workforce utilisation data.

Requirements

  • Minimum 2–3 years of experience in rostering, scheduling, workforce coordination, or a similar administrative role.
  • Experience in aged care, disability services, healthcare, community services, or a service-based environment preferred.
  • Strong understanding of workforce scheduling and resource allocation.
  • Excellent organisational and time-management skills.
  • Strong verbal and written communication skills.
  • High attention to detail and problem-solving ability.
  • Experience with rostering, workforce management, or scheduling systems.
  • Intermediate Microsoft Office skills, particularly Excel.
  • Ability to work independently and manage competing priorities.
  • Experience with Visual Care or similar rostering software is preferred.
  • Exposure to SCHADS Award interpretation and workforce compliance requirements is preferred.
  • Experience supporting payroll administration and timesheet reconciliation is preferred.
  • Understanding of NDIS, aged care, or community care service environments is preferred.
