Description

  • Manage executive calendars, inboxes, meetings, appointments, priorities, and follow-up tasks.
  • Monitor executive and company inboxes, triage messages by priority, and draft professional email responses.
  • Track outstanding requests, deadlines, commitments, action items, and follow-through on deliverables.
  • Prepare leadership for internal, prospect, and client meetings and maintain confidentiality with sensitive information.
  • Maintain accurate HubSpot CRM records and manage contacts, companies, deals, activities, lists, properties, pipelines, and workflows.
  • Support HubSpot marketing and sales efforts, including email campaigns, forms, landing pages, automations, reports, and dashboards.
  • Research companies and contacts using Apollo or similar tools to support prospecting and lead-generation campaigns.
  • Create quotes, proposals, sales documents, presentations, and reports using HubSpot data and Google Slides.
  • Schedule and facilitate calls and meetings, take notes, summarize transcripts with AI, and document next steps in HubSpot.
  • Use AI tools and automation to improve workflows, document processes, and maintain organized company records.

Requirements

  • Previous experience as an executive assistant, sales coordinator, marketing coordinator, or revenue operations assistant.
  • Strong working knowledge of HubSpot sales and marketing tools, including CRM, Marketing Hub, Sales Hub, quotes, pipelines, workflows, lists, and email tools.
  • Experience creating useful reports and dashboards in HubSpot.
  • Experience using AI tools such as Claude and ChatGPT in real business workflows.
  • Experience with Apollo or similar prospecting platforms.
  • Proficiency with Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides.
  • Experience with electronic signature, proposal-management, video conferencing, meeting-transcription, and project-management tools.
  • Strong professional writing, editing, proofreading, verbal communication, and phone skills.
  • Excellent organization, prioritization, time management, attention to detail, and ability to manage multiple inboxes, projects, meetings, and deadlines.
  • Ability to act independently when appropriate, follow instructions when approval is required, and protect confidential information.
