Description

  • Manage calendars, coordinate meetings and events, and arrange travel for the Vice President and team.
  • Process, prioritize, and distill incoming information while facilitating follow-up actions.
  • Prepare and edit presentations, reports, PDFs, and other business documents accurately and on time.
  • Safeguard confidential technical, regulatory, personnel, partner, and export-controlled information.
  • Proactively resolve administrative and technical challenges in a fast-paced environment.
  • Coordinate projects, track milestones, and communicate status updates.
  • Provide interim on-site logistics support, including office trailer setup, deliveries, janitorial services, hospitality, and visitor events.
  • Handle ad hoc tasks and projects with resourcefulness and adaptability.

Requirements

  • Bachelor’s degree or equivalent experience.
  • 5–8 years of experience as an administrative assistant or in a similar role, preferably in a technical environment.
  • Experience strategically prioritizing and sequencing calendars to advance organizational objectives.
  • Proficiency with Google Suite, Slack, Box, Atlassian, Asana, Microsoft Office Suite, and Adobe Acrobat.
  • Strong organizational, communication, writing, grammar, and attention-to-detail skills.
  • Ability to learn tools quickly; familiarity with AI tools is preferred.
  • Ability to multitask, prioritize, anticipate needs, and work independently in a fast-paced startup.
  • Sound judgment when handling confidential information, access boundaries, CUI, and export-control requirements.
  • U.S. citizenship or qualifying U.S.-person status; ability to pass applicable background, facility-access, drug-screening, and compliance checks.
  • Remote candidates preferred in Eastern or Central time zones; required travel to Santa Clara headquarters twice per quarter and for the first two weeks of onboarding.
  • Knowledge of nuclear power or radioisotopes is preferred but not required.
  • Cover letter must include links or descriptions of creative work the candidate is proud of.
