Description

  • Oversee, support, and manage the service specialist team against key metrics and best practices for client, group, and advisor interaction.
  • Manage day-to-day work assignments for service specialists, including training, coaching, mentoring, and time management support.
  • Recruit, train, and onboard new service specialists.
  • Lead regular service specialist meetings.
  • Develop and build internal resources to support the Estate Planning group.
  • Draft correspondence for wealth management teams and clients.
  • Support estate planning strategists through the estate planning process and serve as a primary point of contact for clients.
  • Manage client correspondence, calendar coordination, meeting scheduling, and phone coverage for the estate planning strategist.
  • Maintain estate planning documents, reviews, and client files, including meeting notes.
  • Handle time off and timekeeping responsibilities for the service specialist team.

Requirements

  • High school diploma or equivalent.
  • 5 years of experience in a legal setting, law firm, or in-house setting preferred.
  • Experience managing a team of individual contributors.
  • Strong communication and organizational skills.
  • Ability to perform under pressure, meet deadlines, prioritize, and manage multiple tasks in a busy environment.
  • Proficiency with MS Word, Excel, Adobe, and Outlook.
  • Ability to maintain confidentiality in all matters.
  • Self-starter with a positive, team-oriented attitude.
  • Availability during standard business hours, Monday through Friday from 8 AM to 5 PM, with occasional early or late hours as needed.
  • Ability to record working time daily as a non-exempt employee.

  • Base pay range of $56,700 to $66,700 USD.
