Description

  • Coordinate the planning and execution of social media and multimedia projects to meet client expectations, timelines, and quality standards.
  • Partner with Creative, Strategy, Digital, Medical, Account, and Production teams to keep work moving efficiently through the agency workflow.
  • Prepare project handoff materials, including specifications, assets, and routing documentation.
  • Maintain project schedules, monitor milestones, identify risks or delays, and escalate issues as needed.
  • Open and manage projects in project management systems and keep project information accurate and up to date.
  • Coordinate stakeholder feedback and support the routing and review process.
  • Assist with project financial tracking, including purchase orders, invoices, job setup, expense tracking, and budget reconciliation.
  • Prepare project scopes, track progress against timelines and budgets, and provide status updates to internal teams.
  • Collaborate with senior project management and production teams to ensure compliance with pharmaceutical regulatory and legal review processes.
  • Perform additional project management and administrative duties as assigned.

Requirements

  • Bachelor's degree or equivalent work experience.
  • 1–2 years of experience in project management, production, account coordination, or a related role in an advertising agency, marketing organization, or similar environment.
  • Experience in pharmaceutical advertising is a plus.
  • Strong organizational skills with the ability to manage multiple projects and priorities in a deadline-driven environment.
  • Excellent written and verbal communication skills.
  • Detail-oriented with strong problem-solving and time management skills.
  • Familiarity with project management tools and workflows; experience with agency project management systems is preferred.
  • Working knowledge of digital and social media production processes is preferred.
  • Understanding of pharmaceutical marketing regulations and medical/legal/regulatory (MLR) review processes is a plus.
  • Proficiency in Microsoft Office Suite and project management software.
