Description

  • Lead end-to-end delivery of Hero Projects and other large and extra-large cross-functional initiatives.
  • Own requirements gathering, planning, cross-functional execution, change management, and closure for assigned programs.
  • Drive AI foundational initiatives that automate intake, improve capacity planning, build portfolio dashboards, and scale PMO capabilities.
  • Partner with senior leaders across CX, Product, Engineering, Tech Governance, Legal, Security, and operations to align priorities and unblock work.
  • Prepare executive-ready decks, written updates, visualizations, status reports, and outcome narratives for Director- and VP-level audiences.
  • Manage dependencies, sequencing, scope trade-offs, and resource alignment across interconnected workstreams.
  • Lead pre-planning before each half to ensure scope, dependencies, and resourcing are locked before execution begins.
  • Recommend and help implement improvements to PMO standards, frameworks, and best practices.
  • Influence senior stakeholders without direct authority to drive project success and secure required sign-off.

Requirements

  • 5+ years of project management experience, ideally in a technology, operations, or customer experience organization.
  • Demonstrated success leading large and extra-large cross-functional programs end to end.
  • Experience with scope definition, dependency mapping, executive reporting, and risk management.
  • Strong problem-solving skills for ambiguous, interconnected challenges with no predefined path.
  • Strong organizational and communication skills, with the ability to synthesize complexity for Director- and VP-level audiences.
  • Experience creating project charters, project plans, status reports, risk logs, and executive updates.
  • Ability to manage milestones and deliver results on time in a fast-moving, ambiguous environment.
  • Bachelor's degree in a related field or equivalent work experience.
  • 7+ years of progressive project management experience, including independent ownership of extra-large cross-functional programs (preferred).
  • Experience in Customer Experience, SaaS, or e-commerce environments (preferred).
  • Hands-on experience with AI-enabled PM tooling, automation platforms, or PMO scaling tools such as Gumloop, Glean, AI copilots, intake automation, or capacity planning tools (preferred).
  • Familiarity with Agile, Scrum, or Waterfall methodologies and tools such as Smartsheet, Asana, or Jira (preferred).
  • Experience supporting enterprise-scale system implementations or CX technology rollouts such as Salesforce or Genesys (preferred).
  • PMP, CSM, or another project management certification (preferred).
  • Experience contributing to or building PMO standards, frameworks, or governance models (preferred).
  • Experience scaling PMO operations through automation, AI, or process innovation (preferred).

  • Highly market-competitive compensation and benefits.
  • Base salary range of $147,000-$155,000 USD in CA, NY, CT, and NJ.
  • Base salary range of $140,000-$148,000 USD in WA.
  • Base salary range of $134,000-$141,500 USD in OR, DE, ME, MA, MD, NH, RI, VT, DC, PA, VA, CO, TX, IL, and HI.
  • Base salary range of $122,000-$129,000 USD in all other states.
  • Eligible for a new hire equity grant.
  • Eligible for annual refresh equity grants.
  • Access to Instacart benefits offerings.
