Description

  • Guide new subscribers through the full onboarding process from intake to go-live and early post-launch support.
  • Conduct intake calls to assess portfolio details, data sources, migration complexity, and target timelines.
  • Create onboarding project records in the Admin Backend and set clear expectations for the subscriber timeline and required inputs.
  • Support data migration by helping subscribers export or prepare data from spreadsheets and other property management systems.
  • Build complete subscriber accounts, including property, unit, tenant, owner, vendor, staff, and related detail records.
  • Import tenant ledger history and opening balances, and complete the Ledger Import Declaration for financial data accuracy.
  • Invite staff, tenants, owners, vendors, and agents through the correct portal workflows.
  • Coordinate SAQ-A PCI compliance eSignature and configure billing, fee, reserve, and merchant account settings.
  • Run onboarding verification checks before go-live and confirm records and balances are accurate.
  • Lead go-live walkthroughs, provide first-30-day support, and escalate technical issues or product gaps as needed.

Requirements

  • Direct experience in property management operations.
  • Understanding of the relationship between property management companies, owner clients, and tenants.
  • Familiarity with lease types, rent collection cycles, security deposit handling, and the tenant lifecycle from application through move-out.
  • Functional knowledge of property management accounting, including trust accounts, management fee deductions, and NSF events.
  • Experience with at least one major property management software platform such as AppFolio, Yardi, Buildium, or RentManager.
  • Experience migrating data from a property management platform is a significant advantage.
  • Ability to manage residential, commercial, student housing, and HOA onboarding differences.
  • Exceptional organizational skills and the ability to manage multiple onboarding projects simultaneously.
  • Clear written and verbal communication, strong attention to detail, and comfort working independently.
  • Comfort working with spreadsheets, CSV files, and data exports; experience with SaaS onboarding, customer success, eSign tools like Xodo or DocuSign, payment platforms like PaySafe or Stripe, and AI tools is preferred.
  • Must meet work environment requirements including a 15 Mbps primary internet connection, 10 Mbps backup internet connection, qualifying desktop/laptop specs, backup device, webcam, noise-canceling USB headset, quiet home office, and smartphone.
