Description

  • Manage complex C-suite calendars, prioritize high-value meetings, and ensure leaders are briefed and prepared.
  • Serve as the primary gatekeeper for incoming calls and emails by filtering priorities and gathering needed information from stakeholders.
  • Handle executive-office administration, including document management, filing, signature coordination, and confidentiality requirements.
  • Communicate with clients regarding questions, updates, and matters related to their cases.
  • Own the lifecycle of internal projects by tracking milestones, managing deadlines, and maintaining team accountability.
  • Coordinate project execution from planning through completion and ensure no critical milestone is missed.
  • Identify and implement workflow improvements within Google Workspace and internal project tools.
  • Conduct deep-dive research to support internal operations and strategic initiatives.
  • Present research findings in organized, actionable formats.
  • Support operational problem-solving with a proactive, detail-oriented approach.

Requirements

  • At least 3 years of experience as an Executive Assistant or Project Manager supporting teams or operational projects.
  • Strong time-management skills with the ability to organize and drive multiple projects and sales tasks simultaneously.
  • Power-user level proficiency in Google Workspace.
  • Ability to quickly learn CRM software, AI tools, and project management tools such as Asana, Monday, or ClickUp.
  • Flexible and adaptable ability to shift from administrative work to high-level problem-solving.
  • Exceptional verbal and written communication skills with the ability to adjust tone for different audiences.
  • Meticulous attention to detail, process-oriented thinking, and proactive problem-solving skills.
  • Absolute discretion with sensitive business information and a commitment to punctual, consistent performance.
  • Primary internet connection of at least 15 Mbps and backup internet connection of at least 10 Mbps capable of supporting work during a power outage.
  • Desktop or laptop with an Intel Core i5 8th generation or newer, Intel Core i3 10th generation or newer, AMD Ryzen 5, or equivalent processor, and at least 8 GB RAM.
  • Backup device that meets or exceeds the performance of an Intel Core i3 and is functional during power interruptions.
  • Functioning webcam, noise-canceling USB headset, quiet dedicated home office space, and smartphone for communication and verification.
