Description

  • Own the Notion calendar covering meetings, travel, launches, partner deliverables, and deadlines.
  • Coordinate travel, executive meetings, offsites, events, dinners, vendors, budgets, and follow-ups.
  • Build project plans, track milestones and owners, and drive executive action items through completion.
  • Manage partnership deliverables, kickoff meetings, approvals, timelines, and cross-functional coordination.
  • Set up, migrate, integrate, and support tools and AI applications for the Founder and executive team.
  • Build and maintain Notion databases, dashboards, templates, Slack workflows, and workspace structures.
  • Maintain accurate project, vendor, budget, contact, asset, and deliverables trackers.
  • Coordinate podcast guest tracking, scheduling, booking follow-ups, and production approvals.
  • Manage research requests and produce sourced trend reports across wellness, beauty, fashion, consumer, culture, and AI.
  • Flag risks, conflicts, gaps, and blocked work early while providing clear status updates to executives.

Requirements

  • 3–5 years of business experience, including at least 2 years in project management or executive operations supporting C-level leaders.
  • Bachelor’s or Master’s degree in Business required.
  • Expert-level Notion experience, including calendars, databases, dashboards, templates, and automations.
  • Administrator-level experience with Slack and WhatsApp workspace setup, permissions, workflows, and security settings.
  • Advanced proficiency with Claude, ChatGPT, Gemini, and Google Workspace.
  • Hands-on experience building workflows, AI agents, and automations using tools such as Zapier, Notion Automations, and Slack Workflows.
  • Exceptional written and verbal communication, organization, speed, follow-through, and discretion.
  • Experience communicating directly with a founder or CEO and coordinating global, cross-functional teams across time zones.
  • Consumer goods or brand partnership experience preferred.
  • Based in North America, available during Pacific or Eastern core hours, able to travel 8–10 times annually, and flexible for occasional early or late work.
  • AI-native approach and ability to learn and implement new tools quickly.
