Description

  • Build, organize, and maintain the executive assistant workspace in Notion, including task tracking, SOP documentation, meeting agendas, notes, and weekly review materials.
  • Assist in designing and documenting operational processes used across the business.
  • Gather data and compile weekly operational reports from multiple platforms such as QuickBooks, Spectrum, Tena, Curb Waste, Dump Truck Dispatcher, and HCSS.
  • Prepare consolidated reports and dashboards in Google Sheets and Notion.
  • Coordinate special projects, including software development efforts with Zaratech, stakeholder feedback, test cases, reporting, blockers, and deliverables.
  • Help build a Notion-based CRM system to support external relationship management.
  • Support scheduling and follow-through for external relationship-building efforts.
  • Support quarterly strategic objectives using EOS methodology and maintain visibility across milestones, deadlines, and progress metrics.
  • Coordinate weekly review meetings and Tuesday status updates, including meeting notes, agendas, and recordings in Notion.
  • Assist with scheduling external meetings while handling minimal internal calendar and email triage.

Requirements

  • 3+ years of experience as an Executive Assistant, Project Coordinator, or Operations Assistant.
  • Proven experience with process documentation, system building, or SOP creation.
  • Strong skills in data gathering, report preparation, and project tracking.
  • Experience with Notion or similar knowledge management tools, with willingness to learn quickly.
  • Familiarity with Google Workspace, especially Sheets for reporting.
  • Excellent organizational and prioritization abilities.
  • Outstanding written and verbal communication skills.
  • Ability to operate autonomously and proactively.
  • High comfort in tech-driven environments and learning new platforms.
  • Experience coordinating cross-functional stakeholders.
  • Ability to maintain confidentiality and handle sensitive information.
  • Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
