Description

  • Research, identify, and shortlist suitable venues, caterers, and activity vendors for in-person and virtual events in global locations.
  • Coordinate event schedules and send calendar invites to participants across multiple time zones.
  • Arrange pre-orders of meals before events.
  • Coordinate travel logistics, including flights, accommodations, and transportation as needed.
  • Manage invoicing and payments to vendors worldwide.
  • Generate post-event success reports, including participant feedback.
  • Support seamless in-person and virtual event experiences for participants worldwide.
  • Work closely with company leadership and global partners to ensure event execution runs smoothly.

Requirements

  • Upper-Intermediate English level.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and problem-solving skills.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Ability to stay calm under pressure and handle stress effectively.
  • Agile, proactive mindset with the ability to adapt quickly to changing priorities.
  • Excellent written and verbal communication skills.
  • Familiarity with Google Sheets, Google Docs, LinkedIn, Apollo, and HubSpot.
  • Flexibility for shift-based work schedules.
  • 1+ years of experience planning events (desirable).
  • Experience working with international vendors (desirable).
