Description

  • Support Project Managers and Senior Project Managers with scheduling, meeting coordination, note-taking, and follow-up tracking.
  • Maintain accurate project records in ClickUp and other internal tools, including tasks, statuses, owners, due dates, and documentation.
  • Coordinate logistics across design, engineering, QA, and account teams to keep work on schedule.
  • Draft and circulate meeting agendas, status updates, action item recaps, and weekly client communications.
  • Support resourcing and utilization workflows, including weekly schedule updates, time-tracking compliance, and escalation of conflicts or gaps.
  • Manage contractor and vendor invoices end to end, including collection, review, approval routing, and finance submission.
  • Support non-billable internal initiatives and operational projects as needed.
  • Partner with the Director of Operations on initiatives that improve agency operations.
  • Build relationships with internal team members, contractors, and eventually client stakeholders.

Requirements

  • 1–3 years of professional experience in project coordination, project management, or creative/digital production.
  • Experience in an agency, studio, in-house creative team, digital, software, or creative technology environment is preferred.
  • High level of technical and digital literacy, with the ability to understand how digital products, software, and interactive experiences come together.
  • Exceptional organization and attention to detail across multiple concurrent projects.
  • Strong written and verbal communication skills.
  • Ability to prioritize independently, surface blockers early, and ask for more work when capacity opens up.
  • Comfort working in a fast-moving, deadline-driven environment with shifting priorities and ambiguity.
  • Proficiency in or ability to quickly learn tools such as ClickUp, Google Workspace, Slack, and Box.
  • Professional, dependable, and collaborative work style.
  • Bachelor’s degree in Business, Communications, Project Management, Production, a related field, or equivalent professional experience.
  • Experience supporting creative technology, interactive experiences, AR/MR, AI, voice, themed entertainment, retail experiential, or digital product development is a plus.
  • Exposure to agency operations such as SOWs, change orders, contractor onboarding, time tracking, utilization, or resource management is a plus.
  • Familiarity with PM frameworks such as Agile, Scrum, or Waterfall is preferred.
  • Interest in formal PM certification such as CAPM or PMP over time is a plus.
  • Experience working with distributed and international teams or contractors is a plus.

Benefits

  • Remote, full-time position based in the USA.
  • Annual discretionary bonus eligibility.
  • Base salary of $60,000–$75,000 per year.
