Description

  • Own the full event lifecycle from initial planning through post-event wrap-up for founder socials, boardrooms, roundtables, masterminds, chapter events, and squad gatherings.
  • Build and maintain event project plans and timelines, tracking deliverables, deadlines, stakeholder actions, and dependencies.
  • Source, evaluate, and confirm venues, and manage venue logistics including contracts, A/V, catering, room setup, signage, and day-of contacts.
  • Maintain contingency plans with backup venue options and escalation protocols for each event.
  • Track and reconcile event budgets and coordinate cost management with the Events Director.
  • Brief and prepare event hosts with checklists, format guidance, audience context, and timing expectations.
  • Build and manage a host pipeline for chapter events, including identifying, onboarding, and preparing member hosts.
  • Collect, review, format, and distribute event presentations and materials so they are polished and on brand.
  • Create run-of-show documents covering agenda flow, timing, speaker order, transitions, AV cues, and contingency notes.
  • Manage guest lists, RSVPs, pre-event attendee communications, and post-event feedback flows in coordination with internal teams.
  • Support chapter and squad event calendars across multiple cities, flagging capacity, timing, or resource conflicts proactively.
  • Collaborate with the Events Director and cross-functional teams on planning, execution, debriefs, flagship events, and attendee/prospect coordination.

Requirements

  • 2+ years of event coordination or event management experience with end-to-end logistics across multiple simultaneous events.
  • Demonstrated ability to manage overlapping events and formats without losing detail or missing deliverables.
  • Strong organizational skills and obsessive attention to detail.
  • Excellent written and verbal communication skills for briefing hosts, writing attendee communications, and updating stakeholders.
  • Experience with project management and coordination tools such as ClickUp, Airtable, Google Workspace, or equivalent.
  • Proactive problem-solving mindset with backup plans prepared in advance.
  • Comfortable traveling for in-person event execution and representing the organization professionally on the ground.
  • Self-directed in a remote-first environment with the discipline to manage a complex event calendar independently.
  • Experience coordinating private, high-end, or founder-focused events such as dinners, boardrooms, or masterminds is preferred.
  • Background in community management, membership organizations, or ecommerce-adjacent industries is preferred.
  • Experience briefing and preparing non-professional hosts is preferred.
  • Familiarity with building run-of-show documents and event briefing materials from scratch is preferred.
  • Experience supporting a senior events lead or director in a fast-paced, high-volume events environment is preferred.

  • Salary of $2,000–$3,000 USD/month depending on experience and track record.
