Description

  • Prepare accurate, timely customer invoices and resolve billing questions and discrepancies with internal teams.
  • Record and apply customer payments and credit memos; research unapplied payments and credit balances.
  • Respond to billing inquiries, reconcile customer account balances, and coordinate approved refunds and account adjustments.
  • Monitor accounts receivable aging, follow up on overdue and disputed invoices, and escalate unresolved collection items.
  • Provide the Controller with updates on aging, collection activity, and accounts requiring attention.
  • Administer day-to-day sales tax processes, including invoice tax review, exemption certificate maintenance, reconciliations, and discrepancy resolution.
  • Coordinate external sales tax return preparation and filing, track deadlines, and support responses to notices and information requests.
  • Progressively assume general ledger responsibilities, including journal entries, balance sheet reconciliations, monthly close tasks, reporting, and variance analysis.
  • Support accounts payable, fixed assets, expense reports, corporate card reconciliations, 1099 preparation, and payroll- and benefits-related accruals.
  • Help transition accounting processes and records from the external firm, document controls, and identify process improvements.

Requirements

  • 4+ years of relevant accounting experience, including hands-on customer invoicing, customer account maintenance, and accounts receivable.
  • Bachelor’s degree in Accounting.
  • Working knowledge of sales tax administration, including reconciliations, exemption certificates, and return preparation and filing coordination.
  • Understanding of general ledger accounting, account reconciliations, and the monthly close process.
  • Strong attention to detail and ability to research and resolve account discrepancies.
  • Clear, professional communication skills for coordinating with customers and internal teams on billing and collections.
  • Ability to manage recurring deadlines and take on expanding responsibilities as the accounting department develops.
  • Curious, proactive ownership mindset with the ability to identify recurring issues and improvement opportunities.
  • Experience with NetSuite preferred.
  • Unrestricted right to work in the United States.
